WhatsApp AI Chatbot for Manufacturing: Setup Guide
How to set up a WhatsApp AI chatbot for manufacturing: conversation flow, knowledge base, and the rules that hand a customer over to a real person.

A WhatsApp AI chatbot for manufacturing companies works when it does a few things precisely: answers repetitive questions, collects the details of a request, and hands a ready-to-work case to a salesperson. It does not have to pretend to be human or solve everything. Here is how to build one for distributors and B2B customers.
Decide what the bot handles before you build anything
Take your last 100 business WhatsApp conversations and label each one. Usually the majority cluster around half a dozen topics: order status, invoice copies, stock availability, technical specs, and quote requests.
Pick two to four topics for version one. Everything else goes straight to a person. A narrow first scope earns the team's trust faster.
Design the conversation flow
The AI understands free text, but the conversation still needs a spine. A simple structure is usually enough:
- A short greeting that says it is a virtual assistant and what it can do.
- Identification: name, company and customer code, asked only when the topic requires it.
- Intent detection: the AI sorts the message into one of your defined topics, or into other.
- Answer or collection: it provides the requested data or gathers what is missing, such as dimensions, quantity and deadline.
- Confirmation and close: it summarizes what was agreed and states the next step with a time frame.
Feed it a knowledge base you trust
The costliest mistake is letting the AI answer from whatever it thinks it knows. Configure it to answer only from documents you supply: catalog, lead-time table, return policy and FAQs reviewed by someone who knows the product.
When the answer is not in the base, the instruction should be explicit: say the team will check, and transfer. Prices, discounts and delivery dates must come from a lookup in your system or a current table, never from loose text.
Set clear handoff rules to a human
Handoff is what separates a useful bot from an irritating one. Define objective triggers:
- The customer asks for a person, at any point, with no detours.
- The bot fails to find an answer twice in a row.
- Words like complaint, defect, cancellation or line down appear.
- Order value or customer type calls for a senior salesperson.
- The topic is technical and outside the base, such as a special application or a specific standard.
On handoff, the bot sends the agent a conversation summary and the data already collected, so the customer never repeats anything. Outside business hours, it says when someone will follow up and logs the case.
Handle the WhatsApp technical and legal side
To automate, use the official WhatsApp Business API through an approved provider. Regular numbers driven by unofficial robots risk being banned. Messages the company starts outside the 24-hour window require approved templates and, depending on your market, documented consent under rules such as GDPR or LGPD.
Store conversations with access control and decide how long to keep them. If you need help connecting the bot to your CRM and ERP, see our automation and AI services.
Pilot with real customers before opening it up
Run a two-to-three-week pilot with a small group of distributors. Read every conversation, flag the bad answers, and fix the knowledge base daily.
Track three numbers: share of conversations resolved without a human, time to first response, and a one-question satisfaction score at the end. Expand scope only when those hold steady.
Your next step
Start with the 100-conversation review and a list of ten questions with approved answers. That alone tells you whether the project is worth it and lets any vendor work with far more precision.
Frequently asked questions
Do I need a new WhatsApp number for the chatbot?
Usually yes. The official API requires a dedicated or migrated number, and it stops working in the regular app. Many companies use a new number for the bot and keep the current one for the team.
Can the chatbot quote prices and lead times?
Yes, as long as it reads from a table or your system in real time. Never let the AI estimate figures on its own, because a wrong price becomes a commitment to the customer.
How long does it take to go live?
A bot with a handful of topics typically takes four to eight weeks across discovery, configuration and pilot. The timeline grows with the number of integrations.
