UTM Parameters Tracking: Know Where Each Quote Comes From

UTM parameters tracking guide: standardize naming, store the source in hidden form fields and pass it to your CRM, with a spreadsheet template for the team.

UTM parameters tracking is the simplest way to learn which ad, email or post produced each quote request. The trick is not creating the tags but standardizing them, storing them in your form and carrying them all the way to your CRM. Here is the step-by-step.

What UTMs are

They are labels appended to the end of a link, such as ?utm_source=google&utm_medium=cpc&utm_campaign=machining. When someone clicks, analytics reads the labels and records where the visit came from.

  • utm_source: where it came from, such as google, linkedin, newsletter.
  • utm_medium: the channel type, such as cpc, email, social.
  • utm_campaign: the campaign or offer name.
  • utm_content: which ad or button, handy for tests.
  • utm_term: the keyword, when relevant.

Step 1: define a naming convention and write it down

The most common mistake is inconsistency: Google, google and google-ads show up as three separate sources in reports. Set simple rules everyone follows.

  • Always lowercase, no accents and no spaces; use hyphens.
  • A closed list of values for source and medium.
  • Campaign names in a product-region-month pattern, such as milling-machines-us-oct.
  • One person who approves new values.

Step 2: build the template spreadsheet

Create a sheet with columns for destination URL, source, medium, campaign, content, term and final link. Use a concatenation formula to generate the final link automatically, so anyone on the team builds correct links without memorizing syntax.

Also log the creation date and owner, so you can later tell why a campaign exists.

Step 3: apply it to the right channels

In Google Ads, auto-tagging (gclid) covers the basics, but you can add a tracking template to include utm_campaign. For Meta, LinkedIn, email, signatures and QR codes, build links from the spreadsheet.

Never use UTMs on internal links within your own site, because they overwrite the session's original source and scramble your data.

Step 4: store the source in the form

Analytics shows visits, but the quote request itself must carry its origin. Add hidden fields to the form for source, medium, campaign and content, and use a small script that reads the URL and fills them. Also save the values in a cookie or local storage, because visitors browse several pages before filling in the form.

A well-built website with forms and tracking comes with these fields ready and connected to the CRM.

Step 5: pass the data to your CRM

Map each hidden field to a field on the contact record. When a salesperson opens the lead, they see where it came from. When the deal closes, you can match source to revenue.

What to measure at the end

  1. Percentage of leads with a source filled in. Aim above 90%.
  2. Leads, opportunities and closed deals per campaign.
  3. Cost per opportunity by channel.
  4. Number of off-standard sources, so you can fix them early.

Review the spreadsheet monthly and remove duplicate values. Clean data today prevents useless reports a year from now.

Frequently asked questions

Do UTMs hurt SEO?

They do not hurt rankings, but they can create duplicate URLs. Use canonical tags on your pages and avoid UTMs on internal links.

Do I need UTMs if I use Google Ads?

The gclid already identifies Google Ads in analytics, but UTMs help standardize names and let you store the source in forms and your CRM.
